Hi everyone,

As I've mentioned, we will no longer have printers in the Reference Room in Spring 2015. We will have MFPs (multifunction printers) that can print, photocopy, scan, fax, and more, and the closest machines will be the cluster in the copy room off the Art Gallery.

As you can imagine, that will offer opportunities as well as pose some challenges. One thing on my mind is the best way we can redirect students to the copy room off the Art Gallery for printing. Another challenge we'll have is deciding how much presence and support to offer students using those machines to print.

My thought is to rebrand the room to make it more obvious that those machines are printers; we could do that by calling the room "The Printing Room" or "The Print Room." My other thought is to make a little video to post on YouTube that shows someone traveling from Reference, through the Art Gallery, and into the copy room to print.

2) Some solutions for dealing with the main task of efficiently redirecting patrons

Calling it print room would a great idea and having signs and notices in the ref room that lets people know they are no more printers in there, but in the ref room.

I think people will get used to it after a few weeks.

I think people will definitely be confused and a little bit frustrated to have to walk through the gallery to print when they have been so used to printing here, especially the elderly people who come. But I think it will also be great for us and offer more of a quiet and focused computer lab.

I think definitely calling the room the Print Room would help and maybe have a sign on the reference desk that says " printing now located in the print room through the art gallery" or something like that so we don't have to always repeat ourselves.

I think the printing system is pretty self explanatory but maybe having a little bit of student assistance in their would be good for the first two weeks of the semester, or even the student at the desk could routinely walk back there to make sure that everything is going alright.

Hmm I feel like there will be some initial resistance/annoyance from patrons from this change since some of them don't want to walk all the way back there to print. One way we can redirect them is to leave a trail of breadcrumbs to the printing room just like the witch in Hansel and Gretel (just kidding). I feel like we need a person in the first initial few weeks to be ready to walk people back there and show them how to do it. -Alison

I would imagine that once we find a good way to redirect people to the "Print Room" (or whatever it ends up being called), we won't receive too many questions about printing, and I for one think it might be a good idea to limit our involvement with people's print troubles anyway (and make the copy center the go-to for these issues rather than us). Otherwise, there will be a great deal of back-and-forth between the ref desk and the copy room, leading to gaps where there will be nobody at the desk to help patrons with perhaps more relevant research or computer questions.
In terms of letting people know, the more signs the better! Maybe put a sign about it on each computer, making it clear where exactly the copy room is?

Do the new printers mean we'll be getting more computers?? And will we still be responsible for checking the paper and supplies in them?

As for redirecting people, I think re-branding the copy room as the print room is a good idea. We could also make little arrow signs to post on the walls for people to follow in the first couple of weeks until everyone gets situated.

I think there's going to be a lot of confusion from students who are looking to print out their documents. I feel like we'll need large signs that say that the printers are now in the copy room and maybe directions to where exactly the copy room is.

Directing people to the printing room
I'm sure great signage is going to be key to this transition. Places I can think of for signs include on/next to computers (kind of like the Chrome problem notes now), maybe in the spot where the printers are now, at the reference desk, and of course on the way to the print room (arrow signs with stuff like "Print room: proceed through the gallery"). Given the overall success of the "scanning" sign I'm sure lots of people will get lost.

It's hard to describe where that room is from the reference desk (I often say "walk into the gallery and it's at 11 o'clock" or something but I don't know how clear that is). The room itself will have to be really well-marked.

But I think as people get used to it, they'll be showing each other where to go, and enough people will be walking back there that directing folks will get easier over time. Ultimately it's going to become a more well-known room than it is now, which might be kind of nice because people will know where to make copies, too. Just a thought.

Making some signs to put up along the way to the Copy Room could be helpful too! I like the idea of renaming the room to involve the word print or printing.

Just one question, will we still be responsible for supplying paper?

Some effects I foresee would be an increase in people asking where exactly the copy room is located-- as it's not too obvious-- or, if student workers are being called to the copy room to help with the printers, it could take away from those who have questions in the reference area especially when there isn't a librarian working. Dealing with questions about the printers or one's print job might take longer, too, if the student worker has to go back and forth between the reference room and the copy room.

I think at least at the start of the semester, we could have display signs at either the reference desk or where the printers used to be (or both) to let people know the printers will be in the copy room from now on. Perhaps towards the end of this semester we can have notices by the printers that starting next semester they will be moved.

I like the renaming of it. Definitely will help. I don't understand these MFP's though, they can everything BUT print or why can't we use them?

Also, I honestly think short of a school wide email or telling EVERY SINGLE PERSON as they come up. All we can do is put up big signs where the old printers were and another by the student worker computer as it's visible as you approach from the front door.
